How do I share an event plan with suppliers without sharing everyone's contact details?

Technology category photographTechnology

“The caterer can open it too,” our stage manager said, as if that finished the handover. She had forwarded the link to our Google Drive event plan. The same file contains performers' mobile numbers and the home addresses where equipment will be collected.

I had set it to anyone with the link because three volunteers kept getting access requests. I was thinking about getting the running order agreed, not every person the link might reach.

I have changed the file to Restricted and told the organiser what was in it. Now the caterer cannot see the delivery time, and the stage manager says my fix has made a simple job difficult.

How would you keep the useful supplier information available without reopening the whole plan? I can make a separate copy, but I do not want two running orders drifting apart every time somebody changes the arrival time.

The caterer needs a delivery time and contact for the delivery, not the collection addresses. Make a separate supplier brief with those essentials and identify who updates it when the running order changes. A second document is manageable if its purpose and owner are clear.

Google distinguishes Restricted access from anyone-with-the-link access; the latter can be opened without a Google sign-in. Sending the link only to volunteers did not impose that recipient limit on the file. [Google's sharing explanation](https://support.google.com/drive/answer/7166529?hl=en).

Keep the organiser informed about what was shared and which link was forwarded. Changing access is useful, but it does not establish whether anyone already copied the details. Avoid reassuring the performers that nobody else saw them when you do not know.
