How do I send one clear meeting time to people in different time zones?

Technology category photographTechnology

“Nine works,” our illustrator wrote from London. I replied “booked” from Singapore and made a Google Calendar invitation. Then a colleague asked whether the nine in our chat meant her morning too.

The invitation and the chat now sit beside each other as if they are two equal instructions. I chose London as the event's time zone, but my own calendar shows it in my local time. One colleague is travelling that week and keeps her laptop clock on her home setting.

I could send everyone a list of converted times. I am worried that one copied number will survive after we change the meeting, or that a different date will change the conversion.

Would you rely on the event with a clearly stated time zone, or include individual local times as well? This is a single design review, not a reason to make three people become calendar experts before they can join.

Confirm the intended date and London time with the illustrator, then make the event the agreed record. Tell the group which city and date anchor it. “Nine works” needed that extra context before “booked” could mean the same appointment to everyone.

Google Calendar lets you set an event's time zone and displays the event in the viewer's configured local time. Check those settings with the travelling colleague rather than assuming different numbers mean different invitations.
