Should I keep phone RSVPs after moving our event sign-up online?

Technology category photographTechnology

‘Can you just put me down for two seats?’ a regular asked when I handed her the QR card for our community film night. I said the form would only take a minute. She handed the card back: ‘For you.’

I built the form because last time we counted names from texts, phone messages and scraps of paper, then ordered twelve meals too many. This version puts everything in one list. But when I tried it beside the regular, she could not tell whether the little envelope picture meant email or postal address. My short instructions were inside the boxes and disappeared as she started typing.

W3C's form guidance calls for labels or instructions where people enter information. That gives me a specific repair to make; it does not tell me whether this particular guest will want to use the form afterwards. The organiser says to add a phone RSVP number. It would be mine. I can take calls on two evenings, but I cannot keep checking messages throughout the week. Is a limited phone option a sensible bridge, or am I committing us to two systems forever because the first version of my form was confusing?

Two ways to reply need not mean two guest lists. The person taking calls could enter those bookings in the same list as the form entries and confirm the seats. That still requires someone's time, but it addresses the twelve-meal problem without making every guest use the same input method.
