Disappearing messages are now where client decisions happen

Career/Work category photographCareer/Work

Our client adopted a messaging tool that deletes conversations after seven days.

Important decisions are increasingly made there because the tool is fast. Scope changes, deadline approvals, and pricing exceptions disappear before monthly reporting.

People take screenshots inconsistently. Others copy fragments into project notes without the surrounding context.

I want a rule that material decisions are summarized in the shared system before work changes. The message can start the conversation; it cannot be the only record.

My manager says insisting on formal recaps will frustrate the client and slow collaboration.

How would you preserve speed without allowing the project history to evaporate? Which decisions require a durable record even when the client prefers an ephemeral channel?

Define material decisions by scope, cost, timing, risk, and ownership. Summarize those items in the shared project record before execution changes.

Use a concise recap template with decision, approver, date, affected work, and correction window. Link it back to the client rather than capturing private side conversation indiscriminately.
