I sent the AI meeting notes too quickly, and they gave someone a task he never accepted

Career / Work category photographCareer / Work

Alex replied to my meeting notes with, “When did I agree to book the venue?”

I went back to my rough notes. He’d offered to ask a contact whether the venue was available. The summary from our approved meeting tool had turned that into “Alex to confirm booking by Friday.” I’d read it quickly and sent it to the project team.

My manager had praised how fast the notes came out. I liked that praise. I also liked not spending another half-hour tidying the discussion, so I didn’t check each action against what had actually been agreed.

The booking hasn’t been made. One colleague has already started planning around it, though, and Alex is annoyed that he now looks as if he’s backing away from a commitment.

I’ll correct the action. How much should I explain about the way I produced the notes, and what would you change before using the tool again? I don’t want to blame software for a message I chose to send.

Correct the action in the same thread where people saw it: Alex offered to check availability, and the booking is not confirmed. That protects him from having to keep explaining the difference privately. You can also tell the colleague planning around it what remains uncertain. The immediate repair should reach the people already relying on the wrong wording.
